What personal information do I collect?

Personal information is any information that can be used to identify a living person.

The personal information I collect about you is as follows:

      • information pertaining to your enquiry (project details)
      • any project files supplied (including samples)
      • brand guidelines or style information you provide

      • Google Analytics collects anonymous data, including your device’s IP address (geolocation) and which pages on this site you interact with. This enables me to improve this site for a better visitor experience.

I collect this information directly from you when you get in touch to enquire about my services or when we communicate about a project:

Why do I collect this personal information and how do I use it?

The reason I collect this information is because I need it:

    • to respond to your enquiry
    • to provide you with an estimate
    • to provide you with my Terms and Conditions
    • to contact you while supplying my services to you
    • to invoice you
    • for tax purposes related to my tax authority, HM Revenue & Customs (HMRC)
    • to keep in touch with you and/or keep you appraised of my availability
    • to improve the standards of my services.

I do not use your personal data to make automated decisions or do profiling.


When do I share this personal information?

Your privacy matters to me. I will never lease, distribute or sell your information to third parties.

Nor will I share it with any third party without your permission (for instance, to publish a testimonial from you on my website, or to apply for an upgrade of my membership of a professional society), except for my website hosting partner (LCN) and other parties who assist me in conducting my business or providing my services to you (iCloud and WeTransfer).

Google Analytics cookies collect data, but only share data that cannot personally identify you with Google.


How do I store your personal information?

Your information is securely stored on:

    • my computer hard drive – my computer is password protected
    • iCloud – you can access iCloud’s data security overview here; my iCloud account is password protected and I am the only one who can access your files
    • LCN data servers – LCN host my email and website, both password protected, and my website has SSL certification (https) to provide an additional layer of security; you can access LCN’s privacy policy here
    • WeTransfer – I use this service to transfer large files, which are automatically deleted from WeTransfer’s servers after seven days; you can find WeTransfer’s privacy policy here.


How long do I keep your personal information?

I do need to keep your personal information while you are a client. Once a project is completed, HMRC require me to keep records for at least 5 years after the 31 January submission deadline of the relevant tax year in case they decide to audit my accounts.

I will then dispose of your project information by deleting all relevant files from my computer and the iCloud database.

I will, however, retain your contact details, unless you ask me to delete them.


What rights do you have over your personal information?

Under data protection law, you have rights including:

    • right of access ­– you have the right to ask me for copies of the personal information I hold about you
    • right to rectification ­– you have the right to ask me to correct or update personal information you think is inaccurate, or complete information you think is incomplete
    • right to erasure ­– you have the right to ask me to delete your personal information, with the exclusion of data that I am obliged to keep for administrative, legal or security purposes
    • right to restriction of processing – you have the right to withdraw your consent to the processing of your personal information where consent was the lawful basis for processing your data (for instance, if you signed up to a newsletter).

You will not have to pay a fee to exercise any of the rights above. However, if your request is clearly unfounded, repetitive or excessive I may charge a reasonable admin fee or refuse to comply with it.

If you make a request, I have one month to respond to you. If I need more time because your request is particularly complex, or you have made a number of requests, I will let you know and keep you updated.
